Give your student the recognition he or she deserves: Nominate your student for "Student Employee of the Year"

It is that time of year again! In conjunction with National Student Employment Week (April 11 through 17, 2010), Wright State University seeks to recognize the efforts of students employed through Student Employment. On a quarterly basis, Wright State University employs nearly 2,000 students. These students make tremendous contributions to the University's goals.

Supervisors are encouraged to nominate outstanding student employees for consideration for the Student Employee of the Year Award. The guidelines have been established by the National and Midwest Associations of Student Employment Administrators (NSEA/MASEA). Supervisors must submit the Nomination Form and a separate Nomination Letter to Career Services by Monday, February 15, 2010 at 5:00 p.m. A selection committee* will review nominations and select a campus winner by Monday, March 1, 2010.

Each nominated student will receive a letter and certificate. The campus winner will have a campus celebration, and an opportunity to be considered for the state, regional, and national award. Last year, the WSU Student Employee of the Year was Melissa Steinke of the Reading Center at Lake Campus. Congratulations again, Melissa!!

*Please note: Career Services does not review the nominations. A search committee will be formed to select the winner.

Eligibility

Students must have been employed through Student Employment for a minimum of 3 months full-time (summer) or 6 months part-time between July 1, 2009, and June 30, 2010 (anticipated). Nominated graduate students must be hourly student employees. They do not qualify if they are graduate assistants.

Selection criteria

Students will be evaluated on the following qualities:

  •  Reliability
  •  Quality of Work
  •  Initiative
  •  Professionalism
  •  Uniqueness of Contribution

Tips for writing the nomination letter

The selection committee can only make decisions based on the information you provide. For this reason, you should try to provide examples and evidence that demonstrate the qualities listed in the Selection Criteria. Point out specific projects or key accomplishments. State the reasons why this student employee stands out among the rest. Describe moments when the student went above and beyond the call of duty, or made a significant contribution to the department or university.

Student Employment Processing Hours

In order to provide quality service to students and supervisors, Student Employment has specific, defined Drop-In Hours for students submitting their employment forms to Career Services.

Drop-In Hours for student employment paperwork

Monday, Wednesday, and Thursday
8:30 a.m. to 11:30 a.m.
1:00 p.m. to 3:30 p.m

As always

  •  Student Employment Authorization forms MUST be hand-carried to Career Services by the student for processing.
  •  Student employment paperwork must be submitted to Career Services by 3:30 p.m. on the Monday before time sheets are due to ensure that a time sheet for the current pay period is available in WINGS Express.
  •  Student Employment Authorization forms MUST include the department’s full FOPAL number.
  •  Student Employment Authorization forms must have the original signature of the supervisor.
  •  Student Employment Authorization forms without an Approver Time Sheet Org will be returned to the department for completion.

Break Policy

There have been questions regarding the application of the break policy for students.

The break policy is as follows:

A student who is scheduled to work a 4-6 hour shift should get a 15 minute paid break per shift. Any student who is scheduled to work more than 6 continuous hours but less than 7 continuous hours is entitled to one 15 minute paid break and a 30 minute unpaid meal break. A student scheduled to work over 7 continuous hours is entitled to two 15 minute paid breaks and a 30 minute unpaid meal break.

Breaks are scheduled by the supervisor to maintain efficiency of the work unit. Breaks must be preceded and followed by work and should not be used to cover a student's late arrival or early departure. Time designated for rest periods cannot be accumulated. In some instances, by agreement, supervisors may permit student employees to combine their paid breaks with their unpaid lunch periods. This practice is acceptable as long as it does not interfere with efficiency or result in fatigue for individuals whose work is excessively strenuous, dirty, dusty, hot or cold. When these conditions exist, a break is essential.

When using Web time entry, students are required to enter a work beginning time and a work ending time (time in and time out). A student taking a paid break should not 'time out.'

Students must 'time out' for any unpaid breaks in their work schedule.

The following are examples to help you interpret the policy for your students.

Example 1: Student works from 8:30-2:30, student should receive a 15 minute paid, time sheet indicates student in at 8:30 and out at 2:30.

Example 2: Student works from 8:30-2:45, student should receive a 15 minute paid break and a 30 minute unpaid break, time sheet would indicate that the student worked for 6.25 hours minus 30 minute break.

Example 3: Student works from 8:30-5:00, student should receive two 15 minute paid breaks and an unpaid 30 minute break, time sheet would indicate the student worked 8.5 hours minus 30 minute break.

Changes and Reminders

  •  Any request for changes to an activity code, the FOPAL, Approver Time Sheet Orgs or pay rates due to promotion for student employees, MUST be FAXed using the SE Change Request Form found at the Forms and Documents link. The use of this form will maintain the confidentiality of the student and UID. Please do not send e-mails that link at student name with a UID. Any requested changes will be effective the following pay period.
  •  Student Employment job postings will be posted for no longer than three months. By resubmitting your saved job posting, Student Employment will repost your position and it will go to the top of job posting list for students to see.
  •  Students are terminated at the end of each quarter if they have not submitted a time sheet or if they have not received a pay check during the quarter. This occurs to keep our records up to date.
  •  Banner sends automatic e-mails to supervisors and students when work study students are running out of work study funds. If this occurs the supervisor must send an e-mail to connie.nunamaker@wright.edu with the students name stating to change the student to regular status or the student will be terminated when all work study funds are depleted. One note: even if the supervisor sends an e-mail to Student Employment the supervisor and the student will continue to receive the automatic e-mails from Banner until all funds are used.
  •  Please send termination notices to Student Employment when you terminate a student, so we can update our records. This will also allow the students’ active jobs on their electronic time sheet to be accurate. This will help elevate students from entering time onto the wrong time sheet.

Student Employee Time Sheets

Please remember that student employees must submit time sheets by 5:00 p.m. on the second Friday of the pay period. Supervisors must approve the time sheets by 2:00 p.m. on the following Monday.

Students are encouraged to record work hours daily in WINGS Express. If the electronic time sheet is not available when the student first begins work, he or she should keep a paper record so that accurate work hours can be entered when the electronic time sheet is available.

Time sheet approvers should check each day beginning on Monday prior to time sheet submittal to ensure that all student employees hired for fall quarter are listed on their approver list in WINGS Express. If a student employee is not listed, contact Career Services immediately.

Paper time sheets cannot be processed by Payroll unless your student employee is on your approver list in WINGS Express. Information entered into BANNER from the Student Employment Authorization form will generate the student record in your approver list and will provide Payroll with the necessary information to issue pay.

Find Your Approver Time Sheet Org

Supervisors who have not previously approved time sheets must contact Tony Whack in Human Resources, X4161 to obtain an Approver Time Sheet Org Code.

Supervisors who have previously approved time sheets can find their Approver Time Sheet Org code by

  1.  Opening your WINGS Express account and proceeding as you would when approving time sheets
  2.  Advance to the screen where you select the appropriate pay period.
  3.  To the left of the Pay Period Drop Down Menu, are items below the header “Department and Description”. These items are: a capital letter, e.g. “W; a number; and your department name.
    The number is your Approver Time Sheet Org.

    For some, this number will match your Organization Number and for others it will be a different and unique number. Some Approver Time Sheet Orgs may actually be a combination of letters and numbers.

If a position has not been posted and a student has been hired to work, Career Services will post the position for the required five days.

Grant Funding (for student positions and wages needs early action)

If you plan to use grant money to fund your student employee wages, Student Employment encourages you to have these positions classed and the wage rate determined prior to the grant proposal submission.

By confirming the wage rate before the grant proposal is submitted, there will be no delay in posting your jobs when you receive word that the grant has been funded. Professional Development for Students

Career Services will be hosting a variety of winter events during the quarter that are designed for students to connect and have favorable impressions on employers.

Recruiting Days will be the kick-off for the recruiting and interviewing season for students seeking co-op/internship opportunities and/or career employment upon graduation.

Science, Technology, Engineering and Math (STEM) Recruiting Day, February 9, 1:00 p.m. to 4:00 p.m.

Liberal Arts and Human Services Recruiting Day - February 10, 9:00 a.m. to 11:30 a.m.

Business Recruiting Day - February 10, 1:00 p.m. to 4:00 p.m.

Encourage your student employees to visit the Career Services homepage to learn more about these events. Students attending these events will have the opportunity to begin their professional networking and gain awareness about the employment marketplace.

Minimum Wage Update and Awareness

The Ohio amendment that established a new minimum wage included a provision requiring that the wage rate be increased each January based on the inflation rate as determined by the Consumer Price Index (CPI) for a 12 month period.

The State announced that there will be no increase in minimum wage in January 2010.
